1. Who is responsible
SiteDesk is operated by Contractor Near Me (Pty) Ltd. We are the responsible party for account, support and service-administration information we collect directly.
A customer business is generally the responsible party for personal information it places in its workspace about its clients, employees, subcontractors and suppliers. For that workspace data, we process information as the customer’s service provider and on its instructions, subject to law and our security obligations.
2. Information we process
Depending on how SiteDesk is used, this may include:
- account details, such as names, email addresses and authentication information;
- company, branch and team-access information;
- lead, client, employee, subcontractor and supplier contact details;
- quotes, projects, attendance, pay settings, costs, invoices and payment records;
- documents, photographs, notes and other content uploaded by users; and
- device, browser, security, diagnostic and usage information.
3. Why we process information
We process personal information to create and administer accounts, provide requested features, secure tenant data, prevent abuse, provide support, diagnose errors, maintain records, improve SiteDesk and comply with legal obligations.
Processing is based on the performance of our agreement, legal obligations, consent where required, and legitimate interests that are compatible with users’ rights.
4. AI-assisted features
When a user deliberately uses an AI-assisted feature, the submitted scope and relevant supporting information may be sent to an AI service provider to generate a draft. Users should avoid including unnecessary personal or confidential information. AI output remains review-only until the user chooses to use it.
5. Service providers and sharing
We use carefully selected providers for hosting, databases, authentication, file storage, deployment, security verification, error diagnosis and AI processing. They may process information only to provide those services or meet legal obligations.
We do not sell personal information. We may disclose information where required by law, to protect rights or security, or as part of a lawful business restructuring with appropriate safeguards.
6. International processing
Some service providers may process information outside South Africa. Where this occurs, we take reasonable steps to use providers and contractual or legal safeguards that provide appropriate protection for personal information.
7. Retention
We retain information for as long as needed to provide the service, meet contractual and legal obligations, resolve disputes and maintain legitimate business records. Retention periods depend on the type of information and the customer’s instructions. Information is deleted or de-identified when it is no longer reasonably required, subject to backups and legal retention duties.
8. Security
We use reasonable technical and organisational safeguards, including authenticated access, tenant isolation and security monitoring. No online system is completely risk-free. Users must protect their credentials, assign appropriate permissions and report suspected unauthorised access promptly.
9. Your rights
Subject to POPIA and other applicable law, a person may ask whether we hold their personal information, request access or correction, object to certain processing, request deletion where permitted, withdraw consent, or complain to South Africa’s Information Regulator.
For information held in a customer’s SiteDesk workspace, contact that customer first because it controls the record. We will reasonably assist the customer with valid requests.
10. Cookies and security verification
SiteDesk uses essential browser storage and similar technologies to keep users signed in, maintain security and operate the service. Cloudflare Turnstile may process limited device and interaction data to distinguish legitimate users from automated abuse.
11. Contact and complaints
Privacy requests or questions can be sent to admin@contractornearme.co.za. Please describe the request and the SiteDesk company workspace involved so we can verify authority before disclosing or changing information.
You may also lodge a complaint with South Africa’s Information Regulator if you believe your personal information has been processed unlawfully.
12. Changes to this notice
We may update this policy as SiteDesk, our service providers or legal requirements change. The effective date above will be updated when material changes are published.
